People, roles and signing in

OwnersEveryone

Each person in your shop has one role, set by the owner, and it's the same on every phone and computer they use. There are no passwords: people sign in with Google, a code we email them, or a one-time code from the owner.

The three roles

RoleWhat they can do
OwnerEverything: settings, the price book, people and their sign-ins, labour cost, timesheets and profit.
DispatcherBooks and assigns visits, sees every bill, the dashboard and reports. No pay, profit, settings or people.
TechnicianTheir visits, bills and estimates, on the phone or the web. They can open any bill in the shop, without its parts cost.

Customers, addresses, visits and bills are shared across the shop: anyone in it can look them up. The role decides what a person can do. A few things are the owner's alone: labour cost, other people's timesheets and profit.

A shop always keeps one owner, and you can't change your own role.

Add a person

In the web app, go to Settings → Users → Add a person. Give their name and role, then tap Add. Then get them signed in with one of the two ways below.

Get someone signed in

An invite link (best for most people)

On the person's page under Users, choose Invite to sign in with Google, Apple or email and Copy link. Send it to them. When they open it, Pipr asks whether to join your shop (Join followed by your shop's name), and they sign in with Google or an emailed code. From then on they sign in that way on any phone or computer. The link works once, for 7 days.

A pairing code (quickest, standing next to them)

Tap your initials, then Pair a device. Pick the person (or Someone new… with their role) and tap Make a code. On their phone they open Pipr and type the code on the sign-in screen (or tap Not paired first). On a computer, it's Sign in with code. The code works once, for 15 minutes. You can also make one from the person's page under Users.

A phone that isn't signed in still works: technicians can look around, price and write bills. Nothing is sent to the office until it's signed in.

Signing in yourself

On the sign-in screen, Sign in to your shop, choose Continue with Google, or Email me a code and type the 6-digit code we send (it works for 10 minutes). If the owner gave you a pairing code, type it under or use a pairing code.

A phone stays signed in for 30 days at a time. The web app signs you out after 8 hours unused. If a phone says Sign in again, tap it; anything not yet sent stays on the phone and goes once you're back in.

Passkeys (web app). A passkey lets you sign in with Face ID, your fingerprint or your computer's PIN instead of a code. Signed in to the web app, tap your initials, then Profile → Passkeys → Add a passkey, and follow your browser. Next time, choose Sign in with a passkey on the sign-in screen. iCloud Keychain and Google Password Manager copy it to your other devices. Pipr emails you whenever one is added; Google, Apple and the emailed code keep working.

Two-step sign-in (web app). The owner can ask everyone in the shop, owners included, to use a passkey as a second step: Settings → Users → Two-step sign-in with passkeys (off until you turn it on). Then anyone without a passkey is asked to add one the next time they sign in to the web app, and after that Google, Apple or the emailed code sends them on to Sign in with a passkey. Adding or removing your own passkey works only in the first 15 minutes after signing in; later, sign out and in again first. The phone app keeps signing in as before for now. An owner who lost their passkey asks another owner to remove it on Users; a shop with one owner contacts Pipr, who checks it's really them before removing it.

To log out, on the phone or the web app, tap your initials, then Log out. If you have changes not yet sent, Pipr warns you first.

On the phone, Pipr first tries to send everything waiting. If something still can't go (no signal), it stays on the phone and goes out when you sign in again, and until then only you, or the shop's owner, can sign in on that phone. When someone else signs in on a phone after you, they don't see your visits, customers or unfinished bills from it.

Change a role, sign out a phone, or someone leaves

All of these are on the person's page under Settings → Users in the web app (owner only):

Still stuck?

Email shannon@dehsu.com with what happened. Or, in the app, the menu under your initials has Help & app version: tap Email support and the email starts with which version you're on already in it. More on getting help.
