The Bills tab
- To bill: visits finished in the last 30 days with no bill yet.
- Drafts: bills you started but haven't finished.
- Awaiting payment: finished bills not yet paid, oldest first. A bill is overdue 30 days after it was written. In the office this is the whole shop's list, with a filter by technician.
- Paid: the last 30 days.
New bill starts one. All bills searches every bill in the shop, paid ones included. Tap a bill to open it: its lines, parts, payments and the customer's signature. Opening a bill needs signal. In the web app each bill has its own address, so you can bookmark it or send the link to someone in your shop.
Write a bill
- The easiest way is from the visit: Complete → Bill now. If you chose Bill later, tap Bill it on the visit when you're ready.
- Add from price book for jobs from the price book, Add custom item for anything else.
- Members get member prices on their own. Member prices.
- The customer can sign on the screen.
- Tap Finish. The bill is written as unpaid and Collect payment opens.
Sales tax
Tax is worked out on the bill's total, at the shop's rate (Settings → Sales tax rate). A bill keeps the rate it started with, even if you change the shop's rate later.
Drafts
An unfinished bill is saved under Drafts on that phone or browser only; nobody else sees it. It's deleted 30 days after it was last changed, and Pipr warns you when it's nearly due.
Collect payment
After Finish, or from the visit, the bill or Awaiting payment, tap Collect payment and choose:
- Send payment link: the customer pays by card on Stripe's secure page, in your shop's name, and gets a receipt. Text it, copy it, have Pipr email it from your shop's name (Email it), or Open here for the customer to pay on your phone. Needs signal.
- Cash: Pipr asks you to confirm, because it can't be undone from the phone.
- Check: with the check number, so QuickBooks can match the deposit.
- Card, taken elsewhere: if you took the card on your own reader. Add the last four digits or the receipt number if you like.
Cash, check and card taken elsewhere work with no signal. A payment is for the whole bill; there are no part payments yet. A card payment marks the bill paid on its own when Stripe tells Pipr.
Change a bill
Until it's paid, a bill can be changed on the phone or browser that wrote it: a price, a quantity, a line added or taken off. Tap Edit bill on Collect payment, under More on the visit, or on the bill's page in the office, make the change and tap Save changes. Collect payment opens again for the new total.
- The customer's signature is cleared, because they signed for the old total. They can sign again.
- A payment link sent before the change may stop working. Send it again from Collect payment.
- A line that used parts stays on the bill; its price and quantity can still change. The office corrects the parts.
- A paid bill can't be changed. If a change made with no signal reaches Pipr after the customer paid, it isn't made, and the owner is told.
In the office
Anyone in the shop can open a bill, but only the office sees what its parts cost and the parts margin. The office also sees where it stands with Stripe and QuickBooks. When a check arrives in the mail, use Record payment on the bill and date it the day the money came in. On the office's screen, a visit whose bill a technician finished unpaid offers Collect payment on its own page too, to record a payment or send the payment link.
If two people record a payment for the same bill, the first one counts and the owner is told.
Refunds
Card payments are refunded from your Stripe account. Pipr then shows the bill as Refunded or Refunded in part and sends the refund to QuickBooks.
