Customers and addresses

Everyone

Pipr keeps addresses and customers separately, because one house can have an owner, a tenant and a property manager. Everyone in the shop sees the same records.

Find a customer or address

On Customers, type a name, phone number, company or address in Find a customer or address. People are listed first, then addresses. Pipr searches the phone first, then the shop's whole list when there's signal.

An address

Each address keeps what a technician needs at the door: the gate or keypad code, where the meter and panel are, and shutoff and hazard notes (tap Edit notes). These show on every visit there. To fix a typo or a missing house number, tap Edit address: Pipr checks the corrected address with Google Maps, as it does a new one, so it shows on the office's map. A different house is a new address. It also has Navigate and a history of everything that has happened at the address. On a phone, tap the address at the top to switch to another one on the phone.

People at this address

An address can have several customers, each marked as owner, tenant or property manager, with one as the primary contact. Tap the phone button beside someone to call them, or their name to open their page. Use Add a person to link another.

A customer

A customer's page has Edit beside their name, then Call, Text, Email and New estimate as four buttons, their number and email, every address they're linked to (Add beside Addresses makes a New address or picks Link an existing address), and their visits and bills. Email opens a short form: write a subject and a message, and Pipr sends it to the customer under the shop's name (Use my mail app instead opens your phone's own mail). From here you can also sign them up for a plan or send them the portal link.

Technicians can add customers and addresses in the field and fix a phone number or email. Only the office can change a customer's name or company.

Duplicates

If you add a customer with a phone number that's already on file, Pipr says Might already be a customer: tap Use to pick the person on file, or add the new one anyway.

Photos

Every address has a Photos panel. Add photo lets you take one or choose one, with a note. Photos taken on a visit are marked with that visit. They're saved on the phone first and upload when there's signal.

The person who took a photo, or the office, can remove it. Removing it removes it for the whole shop and can't be undone.

Equipment

The Equipment panel records the units at an address: water heaters, furnaces, boilers, air conditioners, heat pumps, softeners, pumps, backflow preventers and more, with make, model, serial, size, year, fuel, location and install date.

The quick way is Scan a tag: get close so the rating plate fills the picture. Once the photo uploads, Pipr reads the tag and fills in the empty fields, marked From the tag — check these. Check them and tap Confirm. If a photo is blurry, Pipr offers Retake.

The customer portal

The portal is a simple website where a customer sees their own bills, visits, estimates and membership. From it they can pay a bill on Stripe's page, answer an estimate and ask for work, and, if your shop takes bookings online, book a visit and pay the deposit. They see only their own records, nobody else's.

To send it, open the customer and tap Send portal link: text it, email it, let Pipr email it, or copy it. The link works for 14 days, and their browser stays signed in for 30. A customer can also ask for a new link by email from the portal's front page.

When a customer asks for work or answers an estimate there, you see it under the bell. Handling work requests.

Still stuck?

Email shannon@dehsu.com with what happened. Or, in the app, the menu under your initials has Help & app version: tap Email support and the email starts with which version you're on already in it. More on getting help.
